Online Registration: Frequently Asked Questions

1. Do I need to create a profile to log in?
Yes. In order to log into the online conference registration page, you will need to create a profile, similar to online shopping retailers. We do not allow anyone to register without creating a profile. If you have registered for conferences with us in the past, your profile is still active and you will be able to login again using the same email address and password. Please do not try to create more than one profile for yourself.

2. How do I create an account?
You can create an account by first going to the “Login” tab in the menu bar and then clicking the “Create an Account” hyperlink. The link can also be found here.

3. How much information do I need to include in my profile?
The only information required is your first name, last name, email address, mailing address, and password. However, the more information you provide for us, the better. Should we need to contact you regarding your registration, we will do so by phone or email. All of your information is stored securely by the UI Center for Conferences and is viewed only by conference organizers. Should the conference decide to publish a class list, you may have the option to request your name not be published at the time you register. This option is dependent on the preferences of the conference organizer.

4. I tried to create an account, but it says my email address is already in use. I don’t remember registering online before, what’s going on?
This can happen if you registered by phone, mail, or fax in the past as your email address will already have been input into the system manually. You can contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu to reset the password and begin using your online profile.

5. I can’t remember my password, what should I do?
First, select the “Login” option in the menu bar. Beneath the email and password entry fields, you will select the “ I forgot my password” link and enter your email address when prompted. If you are still experiencing issues, please call the UI Center for Conferences at 319-335-4141 for a manual password reset.

6. The “Register Now” link is inactive for the conference I want to attend, what does this mean?
Many organizers will choose to deactivate the online registration link several days before the start of the conference. This may mean that either the conference is full due to limited space or registration is now accepted via phone only. If the link is inactive and you still wish to register, please call the UI Center for Conferences at 319-335-4141.

7. Can I register more than one person using my profile?
No. For each registrant, you will need separate profiles with unique email addresses. If you need to register multiple individuals and don’t know their email addresses, you will need to call, mail, or fax (319-335-4039) the registrations to the UI Center for Conferences.

 • Please DO NOT try to register a second person by changing the information in your profile and re-registering. This will cancel the original registration. You can only register once for each conference per profile.

 • Please note that the confirmation emails and receipt-of-payment will go to the email address connected to the profile. If you are registering a colleague under his or her email address, all receipts will be sent to him or her. There is no function to allow receipts to be sent to more than one email address. If are missing a receipt or need a receipt sent to you for another registrant, please contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu.


8. I want to bring a guest to a reception or banquet, but the registration won’t allow me to select a quantity of two, what should I do?
If guests are allowed at the conference, there is a separate “Guest Registration” page to collect their information. Simply complete the “Conference & Session Registration” page for yourself first and press Save. This will allow you to then move to the ‘Guest Registration” screen where you will be prompted for your guest’s information.

 • Please note that some conferences have different or additional pricing for guests.


9. Which type(s) of CEUs do I need?
The UI Center for Conferences does not provide information regarding correct CEU acceptance. It is up to the conference participant to make sure they are purchasing and receiving the correct type of CEUs. If you are unsure, you will want to contact your professional governing body or licensure organization for specific information.

10. Why do I need to fill out all this demographic information?
Several conferences collect demographic information in addition to the information in your profile as a way to improve their regular programming. Providing demographic information is optional and all collected information is kept private and secure.

11. I would like to pay for myself and a colleague, how do I do this?
Unfortunately, there is no way to pay for more than one registrant at a time. If you are paying for yourself and a colleague, you will need to make two individual payments. This can be done online or by calling the UI Center for Conferences at 319-335-4141. Please DO NOT send credit card numbers via email.

12. Can I register for multiple conferences at the same time?
You may register for multiple conferences using the same profile. Please do not make more than one profile for yourself. If you cannot remember your email/password login information or are experiencing problems, please call the UI Center for Conferences at 319-335-4141 for assistance.

13. Can I pay for multiple registrations at the same time?
Unfortunately, all conference registrations must be paid for with separate transactions. This can be done online or by calling the UI Center for Conferences at 319-335-4141. Please DO NOT send credit card numbers via email.

14. Can I go back and change my registration later?
Once you select your payment option (Pay Now or Pay Later) on the “Check Out” screen, you will NOT be able to make any adjustments to your registration details. Please review your “Registration Summary” carefully before selecting the payment option. If you need to make any adjustments later, you will need to contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu with your changes.

15. What types of payment do you accept?
If your conference does not offer a “Pay Later” option, you will need to pay with a credit card at the time of registration. The UI Center for Conferences accepts Visa, Mastercard, or Discover.

If your conference does allow a “Pay Later” option, you can still pay online with a credit card (Visa, Mastercard, or Discover) or you can pay with a check.

 • Checks should be made payable to “UI Center for Conferences” and mailed to:

In some cases, you may also bring payment with you on the day of the conference.

International conferences may accept wire transfers. Please contact the UI Center for Conferences or refer to your conferences website and brochure for further information. University of Iowa faculty and staff may pay with an internal purchase requisition.


16. Can I pay for my registration later?
This is determined according to the preferences of the conference organizer. If the conference allows for paying at a later date, there will be a “Pay Later” option on the ‘Check Out” page. If the “Pay Later” option is not available, you must pay at the time of registration or your registration will be cancelled.

If the “Pay Later” option is available, then you can pay for your registration at a later time. Simply log back into your profile and find the conference for which you wish to make payment. This will take you directly to the “Registration Summary” page. Select Confirm and then proceed to “Check Out” to make payment.


17. Why won’t my American Express card work?
We do not accept American Express.

18. How do I cancel my registration?
To cancel a registration, you will need to contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu. Cancellations cannot be made online.

19. How do I get a refund for my cancelled registration?
Refunds are determined according to the individual policies of each conference. Please refer to the website or printed brochure for your conference to find the refund and cancellation policy. To receive your refund, you will need to contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu.

20. I can no longer attend; can I send a coworker in my place?
Typically, yes. We are more than happy to substitute a coworker for your spot as long as this is a function the conference organizer allows. However, this is not something that can be done through the online registration system. To make a substitution, please contact the UI Center for Conferences at 319-335-4141 or conferences@uiowa.edu.

 • Please note that substitutions are NOT allowed for any of the Iowa Summer Writing Festival programs.


21. I need to cancel my registration for one conference and register for a different one; can I just transfer my payment from the first conference to the second one?
Yes. This is something we can do for you over the phone, so please contact the UI Center for Conferences at 319-335-4141. You will then be refunded or invoiced for any difference in cost.

 • Please note that some conferences charge a fee to transfer between courses or workshops. Make sure to consult all conference websites and brochures for information regarding potential fees.
