General Policies
ABOUT THE DISTANCE EDUCATION TESTING CENTER
Location: The Distance Education Testing Center is located at the Continuing Education Facility (CEF) - 30 S. Dubuque St - Room 201 (second level of the US Bank Building). Click on the link above to see our location on a campus map.
Entering the building: Use the door on the west side of the building (Dubuque St.) to reach the testing center. Inside the entrance, take the elevator on your immediate left to the 2nd level. Once there, turn down the hallway to the right and follow it to the end. Turn left, then right - the door to the Distance Education Testing Room (room 201) will be on your right.
Note: The elevator is the ONLY way to reach our offices; visitors will NOT be allowed to enter our offices (or the testing center) through the bank lobby or other entrances.
Parking: There is NO reserved parking for CEF visitors. Parking is available at nearby city ramps and parking meters. |
NOTE: You are enrolled in a semester course which is to be completed in one semester. It is not a GIS course where students have the option to complete it in the semester following the semester the student enrolled in the course.
For details about the exams in your course—including the exam schedule and deadlines for submitting your Exam Registration forms for an out-of-town proctor—see your course site in ICON: http://icon.uiowa.edu/
The ICON course home page and/or your syllabus have information about your exams. Check the section you are enrolled in for whether you have local exams scheduled at our testing center, local exams taken with the instructor, and off campus testing or your section has an exam schedule for off campus testing only. Students enrolled in sections with off campus testing only—exams are mailed to proctors outside of Iowa City—and who want to take their exams at our testing center must contact their instructor for permission to take their exams here. They will follow the makeup exams procedure stated on the ICON course home page and in this document.
The ICON course home page and/or your syllabus will list the dates scheduled for exams in Iowa City (either handled by your instructor or at our testing center) for sections with local testing. You must take your exam at that location/date/time unless you register for an out-of-town proctor prior to the registration deadline (see Examination Registration). Permission to take your exam outside of the set dates has to be received from your instructor and given to our office.
If the section you are enrolled in has set dates and times for your exams in our testing center and you are not able to take the exams at that time, you would contact your instructor about scheduling a makeup exam. Makeup exams for on campus students are only scheduled through our office by the Exam Coordinator after permission is received by the Exam Coordinator from the instructor via e-mail. After permission is received by the Exam Coordinator from the instructor to schedule a makeup exam, students then call either 800-272-6430 or 319-335-2047 to schedule the exam. If students schedule the makeup exam themselves, the exam will be cancelled; and both the student and instructor will be notified.
GENERAL POLICIES/REQUIREMENTS – EXAMINATION DATE
The following policies/requirements apply to your examination at the Center for Credit Programs Testing Center and with off campus proctors:
- You should bring at least one #2 pencil to the exam.
- You will be required to verify your identity to the proctor when you come to take your exam by presenting two forms of identification, one of which is a photo ID.
- Your course syllabus may provide additional details regarding exam requirements if there are any for your course (e.g., use of calculator or notes, etc.).
- Cell phones and pagers must be out of sight and turned off while in the testing room. Students who leave the testing room once their examination begins must first turn in their exam to the proctor; and, if they have a cell phone with them, must leave the cell phone in the testing room before they leave the testing room.
- Headphones are not allowed unless they are required for the examinations. Hats with visors must be removed or have the visor turned to the back.
- The exam and materials allowed for use during the exam are the only items allowed on the testing table. All other items must be on the floor.
- If you have questions or comments about your exam, write your questions or comments on the exam cover sheet.
- Food and drinks are not allowed in the testing room.
- Childcare is not provided for examinations and only students scheduled for the exam are allowed in the examination room.
- Misconduct will result in confiscation of your exam; you may request a make-up exam from the instructor. Speaking to other students, looking at other's work, looking at notes or books or other materials not specifically allowed on the exam instructions all constitute misconduct.
Examination Registration for Off-Campus Students
It is your responsibility to understand what is required to successfully schedule and take your exams with an out-of-town proctor; you will not receive reminder letters to register for your exam(s). Students who miss the registration deadline for an exam or whose proctor is rejected and an acceptable replacement proctor is not identified in a timely manner should follow procedures for makeup exams.
- To register for an out-of-town proctor, you must submit the online Exam Registration form by the date indicated on your ICON course home page to be eligible to take the examination. You will receive an e-mail stating the proctor has been approved after your proctor has been approved by the Exam Coordinator.
- The date or range of dates during for which you may take the exam is indicated on the ICON course Web page; it is your responsibility to schedule a time with the proctor yourself. Proctors are informed of the postmark deadline for returning the exam to our office in a letter included with the exam.
- If the course has multiple exams, and you will be using an out-of-town proctor for more than one, you must submit an Examination Registration form for each exam prior to the deadline indicated in ICON or your exam will not be sent to your proctor. If you will be using the same proctor for all of the exams for your course, you can submit all your out-of-town exam registration forms at one time. Exams will be sent to proctors two weeks before the exam period starts.
WHO IS CONSIDERED AN ACCEPTABLE PROCTOR?
- To protect the integrity of its examination monitoring system, DE reserves the right to reject any proposed examination proctor or any previously approved proctor. To avoid the appearance of impropriety, no relative, work supervisor, teacher, faculty member, tutor, or immediate employer (regardless of academic qualifications) may proctor an examination.
If your proctor is rejected, you will receive an e-mail message explaining why the proctor was rejected and directing you to a link that lists the categories of acceptable proctors. You can reapply for a proctor by going back to the exam registration form when you have found a proctor that meets the criteria of acceptable proctors below and resubmitting the exam registration form.
You may complete your examination under the supervision of one of the following:
- Directors of public, school, or college libraries or learning centers or the proctor designated by the library or learning center.
- Administrators of an accredited postsecondary degree-granting institution (e.g., registrars, deans, directors or proctors of college testing services or continuing education offices).
- For students in the military, education officers or commanding officers.
- For incarcerated students, directors of educational services at correctional institutions.
For students living outside the United States, a proctor whose position is equivalent to one of those listed above or an administrative official of a U.S. Embassy or Consulate.
Examination Policies for Off Campus Students
- When you take your examination, be prepared to present your proctor with identification that includes a photo and your signature. You will be asked to provide this documentation if your proctor does not know you personally.
- Examinations can only be sent to institutional or business addresses, not to private residences. Examinations must be written at the institutional or business address to which they are sent. They cannot be administered at private residences.
- If you have a handicap or disability and need to make special arrangements to take your examination, contact the Student Disabilities Services office on campus. (See SDS below).
- If you arrange for a proctor who charges a fee, payment of the fee is your responsibility.
- Examinations cannot be sent by fax.
- Contact our office if you have questions about the acceptability of a proctor or need assistance identifying a suitable proctor.
Mailing Examinations
We send all exams by first-class mail. Depending on the destination, it can take one to two weeks for exams within the continental U.S.A. to be delivered.
Exams are returned to our office in a self-addressed postage-paid envelope.
Makeup Exams
Arrangements for a makeup exam may be allowed if you do not register to take your exam out of town by the deadline, if you are unable to take either the local or out-of-town exam at the scheduled time, or if your proctor is rejected and you do not arrange for a suitable replacement in a timely manner. It is your responsibility to see if your instructor will permit a makeup exam and it is your instructor's responsibility to contact our office and inform us that you should be allowed to register for a makeup exam. Proof of instructor permission, an e-mail from the instructor to the student and our office, is acceptable.
Non-local students should re-submit the examination registration form if your proctor was rejected. Local students have to have permission sent to our office via e-mail by their instructor before their exam can be scheduled by the Exam Coordinator at our testing center. After that permission has been received, the student can call 800-272-6430 or 319-335-2047 to schedule their makeup exam. Makeup exams scheduled locally at our Testing Center are subject to the dates and times testing is available. Makeup exams scheduled by students will be cancelled and the student and instructor notified the exam has been cancelled.
